Task Reminders and Completing Tasks

Each task can carry a due date and a reminder, and it ends as either completed or canceled. This guide explains how reminders reach people, who can change a task, and what happens when you close one.

Before you start

You can change a task if you have permission to manage tasks, or if you have permission to create tasks and you either created the task or it is assigned to you. Anyone else sees the task read-only, with the fields greyed out and no Save button.

Steps

  1. Choose Tasks and open the task by its title.
  2. To set a deadline, fill in Due. To be reminded, fill in Remind assignee. A reminder needs an assignee, so pick one under Assignee first; without one, saving fails with "Choose an assignee for the reminder."
  3. Choose Save. You see "Task saved."
  4. When the work is done, choose Complete task. The message reads "Task completed." and the status becomes Completed.
  5. If the work is no longer needed, choose Cancel task instead. The status becomes Canceled.

How reminders work

The reminder goes to the assignee as a notification in their notification bell, titled "Task reminder" with the task title. ServiceVisit checks for due reminders every minute and sends each one once. The reminder time is not the due time; you choose them separately. On Provider Home the task shows "Reminder" with its time until it is sent, then "Reminder sent". If you change the reminder time or the assignee, the reminder is set up again for the new time and person. If the assignee has since lost access to tasks or left the team, the reminder waits rather than going to someone else.

A reminder is not sent for a task that is already completed or canceled.

Tips

Overdue means an open task whose Due time has passed. Completed tasks drop out of the default Open view and the Home list, but they remain under Completed or All. Each completion, cancellation and edit is recorded in the provider activity audit.

If something goes wrong

"Completed and canceled tasks are read-only." means the task is closed; once a task is completed or canceled, it cannot be edited. If someone else changed the task while you had it open, saving fails and you are told to reload; reload the task and repeat your change. "Task could not be changed. Reload and try again." appears when completing or canceling fails for the same reason. "You cannot change this task." means you neither manage tasks nor own this one.
