Viewing and Exporting Acceptance Evidence

When an estimate is accepted, ServiceVisit keeps an authorization record of what the customer agreed to and how. The estimate page describes it as the immutable evidence of what the customer accepted. This guide shows how to read that record, check that it is intact, and download it. The record is evidence of what happened. ServiceVisit does not tell you whether it is enough for any particular dispute.

Before you start

  • You need permission to view estimate authorization evidence. Without it the record is not shown.
  • The estimate must be approved. The record is not loaded for an estimate that has no approval date.

Steps

  1. Open Money, then Estimates, and open an approved estimate.
  2. Select Authorization Record at the top, or scroll to the Authorization record section.
  3. Check the banner. Evidence integrity verified means the stored evidence still matches its acceptance hash. Evidence verification failed means it no longer matches; the page says not to rely on a regenerated estimate and to escalate the record for investigation.
  4. Read the summary fields: Accepted by, Accepted, Method and Access.
  5. Read Acceptance statement shown, with its language version, and Provider terms shown when terms were part of the acceptance.
  6. Check the table of items with Qty, Price and Total, ending in Authorized total.
  7. If the customer signed, Customer signature shows the signature image. A verbal authorization has none, and its statement says so.
  8. Open Evidence identifiers to see the snapshot and hash values.
  9. To keep a copy, select Download PDF or Export evidence.

How to read the Method and Access fields

Together they tell you how the acceptance happened: the customer approving online, signing on your device, or you recording a telephone authorization. For an in-person signature the record shows you as the presenter. For a verbal authorization the record is your attestation and carries the name and number you entered.

Tips

  • The record shows the wording the customer was shown at the time, not the current wording.
  • Changing signature rules later does not rewrite an existing record.
  • Use Download PDF to hand someone a readable copy, and Export evidence for a data copy.

If something goes wrong

  • If Authorization Record does not appear, the estimate may not be approved yet, or you lack the evidence permission.
  • If integrity verification failed, do not edit the estimate to compensate. Escalate it, as the page instructs.
