Setting Up Work Classifications

A work classification is the kind of work a job or plan is for. Setting them up once means jobs get sensible defaults and your work plans are filed under the right kind of work, which keeps the figures you later review in job costing tidy. For each classification you can turn it on or off, rename it for your business and set defaults such as urgency, duration, a default template and the skills needed.

Before you start

The Work Classifications page needs permission to manage settings. If you do not have it, the page is not available and the Work Classifications item does not appear for you. It is included in every plan.

If you want a default template, create the work plan first; see the guide on building reusable work plans.

Steps

  1. Choose Settings in the main menu, then Work Classifications. The page lists Available Work Classifications, each with an Enabled or Disabled badge. Under the name you can see the System Label, plus the Custom Label, Default Urgency and Default Duration when they are set.
  2. Choose Configure on the classification you want to change. A Configure Work Classification window opens.
  3. Tick or clear Enable this work classification. Disabled classifications cannot be used for new jobs.
  4. Optionally type a Custom Label (optional) of up to 200 characters. Leave it blank to keep the system name.
  5. Optionally pick a Default Urgency (optional): No default, Routine, Priority, Urgent or Emergency.
  6. Optionally enter a Default Estimated Duration (minutes, optional) between 1 and 10080.
  7. Optionally pick a Default Work Order Template (optional). The choices are your active templates, and the selected one pre-fills new work orders for that classification.
  8. Optionally list Required Skills (optional, comma-separated), for example "HVAC Certified, EPA 608". Smart-assign uses these to filter eligible technicians.
  9. Choose Save Changes. The page confirms with "Work classification settings updated successfully." Choose Cancel to close the window without saving.

Tips

  • Only enabled classifications appear in the Work Classification list when you create a work plan, so enable the ones you use before building plans.
  • The classification label shows on the Jobs board next to a job, so a clear custom label helps your office see the kind of work at a glance.
  • Set the default duration to match your usual jobs. It is a starting point for a job of that type, and the minutes on each plan step are what the cost reports use.

If something goes wrong

If the page says "An error occurred while loading work classifications.", refresh it. If saving shows "Failed to update work classification settings." or "An error occurred while saving settings.", try again and check that the numbers are within range. If the list shows "No work classifications available.", there is nothing for your business to configure yet, so contact support.
