Team access and roles overview
Your business decides what each of its people can do. Every team member holds one or more roles, and a role is a set of things a person is allowed to do in ServiceVisit. This guide explains how the pieces fit together: who is on the team, what a role is, what happens when a person holds several roles, and what a person sees when they are not allowed to do something. The other guides in this set cover each task in detail.
Before you start
Three separate permissions control this area, and a person may hold any combination of them.
- Viewing team members is what lets someone open a team member's details and the Technicians list.
- Managing users is what lets someone open the Users page, invite people, edit them, and deactivate or reactivate them.
- Assigning roles is what lets someone give a role to a person or take it away, and open the Roles page to change what a role allows.
These three permissions are part of every plan. If someone cannot reach a page here, the cause is their role, not your subscription.
How the pieces fit
- Team members. The Users page, under Settings, lists everyone on your team with their role, status and email. A status is Active, Invited (Pending) or Inactive.
- Roles. The Roles tab next to Users lists every role you can give out, with a short description. Selecting one shows what it allows.
- Several roles at once. One person can hold more than one role, because one person often does more than one job. The page for adding a team member explains it directly: a member's access is the combination of every role they hold. A second role adds to what the first allows and never removes anything.
- Seeing the result. A team member's details page has an Effective Permissions card that lists everything the person can currently do, grouped by category.
Tips
- Start from the role that matches the job and give a second role only when the person really does that second job.
- Use the Roles tab to adjust a role for your whole business, and use the Roles action on a team member to change only that person.
- Provider Administrator holds everything your subscription includes. It is the way back into user and role management, so it cannot be edited.
If something goes wrong
- A page you open says Access Denied and Permission Required. Your roles do not allow that page. For a permission your plan already includes, the page offers a Manage User Roles button that goes to the Users page. You need the Manage users permission to use that page, so ask someone who has it, usually the owner or whoever holds Provider Administrator.
- The Users entry is missing from Settings. It is shown only to people who can manage users.
- A person lost access after you changed their roles. Open their details and check the Roles list and the Effective Permissions card.
