Customizing what a role can do

Each role comes with a default set of abilities from ServiceVisit. You can change that set for your business by switching individual abilities on or off. The change applies to every team member who holds that role, and you can put the role back to the ServiceVisit default at any time.

Before you start

  • You need the permission to assign roles. Without it, opening the Roles page sends you to an access denied page.
  • You can only switch abilities your subscription includes. An ability your plan does not include is not listed at all, so the page never turns into an upgrade offer.
  • Provider Administrator cannot be edited.

Steps

  1. Open Settings, then Users, and select the Roles tab.
  2. Select the role you want to change. The list shows each role with its description, and a Customized badge on any you have already changed.
  3. The role page groups abilities by category. Beside each one a button reads Granted or Not granted. Select it to switch the ability the other way.
  4. ServiceVisit confirms with Capability added to this role. or Capability removed from this role. An ability you changed shows a Changed badge.
  5. To undo everything, select Reset to ServiceVisit default. It appears only on a role that is customized. The message reads: This role has been restored to the ServiceVisit default.

What cannot be changed

  • Provider Administrator. The page shows a lock and explains that this role holds every ability your subscription includes and is the only route back into user and role management.
  • Certifying work on the apprentice role. The row shows the reason: Certifying work is a professional attestation and cannot be granted to this role. It appears as a locked row that reads Granted or Not granted with no button.
  • Abilities outside your plan or meant only for ServiceVisit staff. These are refused, and the page shows the reason it received.

Tips

  • Changing a role affects everyone who holds it. For one person, give them another role instead.
  • Every change is recorded with who made it, what changed and how many team members were affected.
  • Because roles combine, removing an ability from one role does not remove it from a person who holds another role that allows it. Check their Effective Permissions card.

If something goes wrong

  • That change could not be applied. appears with no further reason: reload the role page and try again.
  • That role could not be found. appears: go back to Roles and pick it again.
  • Roles could not be loaded. Please try again. appears on the list: reload.
  • The page says your subscription does not currently include any abilities that can be assigned to a role: nothing is available to switch on this account.
