Finishing the Visit and Payment

When the work is done, you review it, complete the work order, and then collect payment or close the visit. This guide walks through that last stretch on the phone or computer, so a sole operator can finish a job without going back to the office.

Before you start

Completing a work order needs permission to complete work orders. Seeing the invoice that results needs permission to view invoices; without it you see a note that billing has been handed off to a teammate. Both are included in every plan, and which of them you hold depends on your role. Work you started must meet its completion checks first, and any open scope change must be resolved.

Steps

  1. From the execution screen, choose Review & complete. You can also open the work order and choose Review and complete under Complete Work Order.
  2. Check the card headed Review completed work, which shows the Property, Customer, Job Title and when the visit was scheduled. If a yellow box says No time recorded yet, choose Add time to go back and record it. This is a reminder; it does not stop you completing.
  3. Under Work completed, answer What work was completed?. This is the customer-facing summary and becomes part of the permanent service record, so describe what you did in plain words.
  4. If the work should not be charged, such as warranty work, tick This work is not billable. No invoice is created, while parts and labor stay on the work order. Leave it unticked for normal paid work.
  5. Open Advanced completion details only if you need to change Work completed at or the Property-history trust level, which offers Provider certified and Provider verified. In the preview you can also adjust Event Category if the default does not describe the work.
  6. Choose Complete work order. A confirmation asks "Complete this work order?" and warns that it cannot be undone. Choose Complete work order again to confirm. Completing locks the work order and adds the work to the Property's service history.
  7. The Work completed screen follows. For billable work you see the invoice number and total. Choose Collect payment to take payment now, or Review or send invoice to look it over or send it to the customer. If the screen says Preparing the invoice, wait a moment; it refreshes itself, and Check again appears if it takes longer.
  8. If payment will come later, choose Close visit — payment later. For no-charge work the button reads Close visit. Collecting payment also closes the visit; closing it finishes recording your time.
  9. Under Other actions, you can open View work order, Return to job or Back to my work.
  10. At the end of the day, open Timesheets and choose Submit my day if the End of day box is showing.

Tips

  • Completion does not wait for the invoice. If billing takes a moment, the work is already safely completed.
  • If a teammate normally handles billing, you will see Billing handed off instead of the invoice. Your part is finished.

If something goes wrong

If completion is refused, read the message shown at the top of the screen; it names what is missing, such as a required photo or step. Go back with Back, fix it, and try again. If you chose Complete work order by mistake, a completed work order cannot be undone from this screen, so see the guide on statuses, reversals and closing. If the work could not be finished, use Put on hold on the execution screen instead of completing.
