Record a Manual Payment

Not every customer pays through the platform. Recording a manual payment books money you received some other way against an invoice. On the invoice, choose Mark as Paid, which opens the Record Payment form. The Payment Method choices are Cash, Check, Card (External), ACH (External), Wire Transfer, Financing (paid by a lender) and Other. For Financing you also record the lender and the fee the lender kept.

Every method except Cash needs a check number or external reference. You enter the Amount Paid and the Payment Date, and the date you give becomes the paid date when the invoice is settled. If the amount is less than what is owed, the invoice is recorded as partially paid; if it is more, the excess is held as credit for the customer. If the invoice is still a draft, recording the payment issues it without sending anything to the customer.

Use it at the end of the invoice flow when the payment happened outside a payment link or card charge. Taking a payment through the connected processor, and refunding one, are separate actions.
