Billing Reports with PDF and CSV Export
The Billing Reports page summarizes what you invoiced, what you collected and what is still outstanding for a month, a quarter or a year. You can download the same report as a PDF or a CSV file, or email it to yourself, which makes it easy to share with a bookkeeper.
Before you start
- You need permission to view billing reports. Any one of the three billing reporting permissions opens the page and the exports.
- The Written off this period section only appears for people who are allowed to write off invoices. Being able to read the revenue figures does not by itself show you which customers defaulted.
Steps
- Open Money, then Billing Reports.
- Choose Month, Quarter or Year at the top. Month covers the last 30 days, Quarter the last 90 days and Year the last 365 days. If you open the page without choosing, it shows the year.
- Read the three summary cards:
- Total Revenue: invoiced in the chosen range.
- Collected: the amount collected, with the collection rate as a percentage.
- Outstanding: the amount still unpaid, with its share of the total.
- Review the Monthly Revenue Trend chart, which compares Invoiced and Collected for each month. Hover over a month to see the collection rate for it.
- In Outstanding receivables, see how much of the period's invoiced revenue is past due, and select View Receivables report to open the aging breakdown.
- If you can write off invoices, review Written off this period. It shows Uncollectible (bad debt) and Forgiven as two separate totals, and a table with Date, Invoice, Customer, Reason and Amount. A reversal appears with the reason "Reversed" and a negative amount.
- At the bottom, select Export PDF or Export CSV to download the report. The file name includes the range and the date, for example a financial report for the year.
- Select Email Report to send the summary to the email address on your own sign-in. A message at the top of the page confirms the address it went to or says it could not be sent.
- Read Financial Health Insights at the bottom. It lists short labeled findings about the period, colored to show whether the picture is positive, a warning or critical.
Tips
- The page shows when the report was generated, in your business's time zone, so exports can be matched to the day you ran them.
- Bad debt and forgiveness are never added together. Bad debt leaves revenue unchanged and is recorded as an expense. Forgiven amounts reduce revenue because you chose to charge less than you invoiced. Neither is a refund.
- The sales tax filing report is a separate report. See the sales tax filing report guide for it.
If something goes wrong
- If you see "We couldn't load your invoice data, so the financial report can't be shown", refresh the page. Exports and the email are not produced while the data cannot be loaded.
- If an email fails, try again later. The report is not sent anywhere except your own address.
- If Billing Reports is missing from the Money menu, your role does not include billing report access.
