Reading the Receivables Aging Report
The Receivables report shows how much customers still owe you, how old those balances are, and how quickly invoices get paid. It ages every unpaid invoice as of now, so the oldest balances stay visible however far back they were issued. Use it to decide who to follow up with first.
Before you start
- You need permission to view billing reports. Any one of the three billing reporting permissions is enough, so the page appears for owners and for anyone you have given report access to.
- The report works from issued invoices. It counts invoices that are sent, viewed, partially paid, overdue or disputed and that still have a balance.
Steps
- Open Money, then Receivables. The page heading reads "Outstanding balances & how fast you get paid".
- Use the date range menu at the top right to choose Last 7 days, Last 30 days, Last 90 days or Last 12 months. The default is Last 90 days. The range controls the days-to-pay trend. The aging snapshot is always as of now.
- Read the four summary cards:
- Total outstanding: the amount unpaid, with the number of invoices.
- Past due: the amount past its due date, with the number of invoices.
- Avg days to pay: the average number of days from issuing an invoice to its being paid, with how many were paid in the period.
- Current (not due): the amount that is outstanding but not yet due.
- Look at the Aging snapshot chart. Each bar is a bucket: Current, 1-30, 31-60, 61-90 and 90+ days. Hover over a bar to see the amount and the number of invoices.
- Look at the Days-to-pay trend chart to see whether customers are paying faster or slower over the chosen range. If no invoices were paid in the period, the chart is replaced by "No invoices were paid in this period."
- Read the Aging detail table. It lists each bucket with Invoices, Outstanding and % of total, and a Total row at the bottom.
- Select About this report at the top of the page to open the help panel for the report.
Tips
- The 90+ bucket and the 61-90 bucket deserve attention first. They are drawn in the darkest reds so they stand out.
- A rising Avg days to pay is an early warning even when the past-due amount looks small.
- The Money overview has a View aging link on its Outstanding Invoices tile that opens this report. See the Money overview guide for the daily check that leads here.
- The Billing Reports page shows how much of the selected period's invoiced revenue is past due and has a View Receivables report button that opens this page.
If something goes wrong
- If you see a red message instead of the report, the data could not be loaded. Refresh the page or try again later.
- If Receivables is missing from the Money menu, your role does not include billing report access. Ask the person who administers users on your account.
- If the Avg days to pay figure looks odd, check the card underneath it. It counts only invoices paid within the selected range, so a short range with few payments gives a rough average.
