Using the Money Overview for a Daily Financial Check

The Money overview is the first page to open when you want a quick read on the financial health of the business. It shows whether you can take payments, how much you have invoiced recently, what is still owed and how much cash has moved in and out. Every figure is calculated from your invoices and payments when the page loads.

Before you start

  • You need permission to view billing reports. Any one of the three billing reporting permissions is enough.
  • The invoice tiles need permission to browse all invoices, and the cash tiles need permission to browse all payments. Without those, the related tiles show zero instead of real figures.

Steps

  1. Open Money, then Overview.
  2. Check the Payment Account strip at the top. It names your payment account state, such as "Ready to accept payments" or "Finish payment setup", and shows whether you can Charge customers and Receive payouts. Select Manage to open payment setup.
  3. Read the four top tiles:
    • Revenue (30 days) and Revenue (90 days): invoice totals by issue date.
    • Outstanding Invoices: the number of sent or overdue invoices and the amount due.
    • Avg Invoice Value: the average invoice total.
  4. On the Outstanding Invoices tile, select View aging to open the Receivables report. The link appears only if you also have access to reports.
  5. Read the bottom row:
    • Paid vs Unpaid Ratio: paid invoices per unpaid invoice.
    • Cash In: completed incoming payments.
    • Cash Out: refunded, reversed or failed payments.
  6. For more detail, open Billing Reports for a month, quarter or year with PDF and CSV exports, or Receivables for aging.

Tips

  • Treat the overview as a daily check, then open Invoices or Payments from the Money menu to act on what you see.
  • Revenue counts invoices by the date they were issued, so a back-dated invoice lands in the period it belongs to.
  • The Paid vs Unpaid Ratio compares invoice counts, not dollars. A high ratio with a large Outstanding Invoices amount means a few big invoices are waiting.
  • Cash Out groups refunds, reversals and failed payments together. Open Payments for the individual items.

If something goes wrong

  • If the page says "Billing overview is temporarily unavailable.", the figures could not be loaded. The page reports this instead of showing zero, so refresh and try again.
  • If the Payment Account strip does not appear, the payment status could not be read. The rest of the overview still works.
  • If Overview is missing from the Money menu, your role does not include billing report access. Ask the person who administers users on your account.
