Automatic Timekeeping and the Confirmations It Asks For
The work itself drives the timers, so a technician does not have to remember a stopwatch. This guide lists exactly what starts and stops time on its own, when the system closes a timer for you, and the points where you are asked to confirm something. Nothing here uses location; every start and stop comes from an action in the product.
What starts time
- On my way on a scheduled visit starts travel time.
- Arrive ends travel and starts time on site. If the work order was on hold waiting for you to arrive, the work timer starts again too.
- Start Work on a work order starts the work timer. If you had not arrived, it starts time on site as well, because beginning work implies you are there.
- Starting an assessment starts the work timer for it, in the same way.
What stops time
- Completing the work order stops its running work timers.
- Suspending it (waiting for the customer, materials or inspection, or placing it on hold) stops the work timer. You stay on site until you leave.
- Cancelling the work order stops everything still running for it.
- Cancelling, rescheduling or reassigning the visit, or marking it a no-show, ends the on-site and work timers for that visit.
- Submitting an assessment's findings stops its work timer.
When the system closes a timer
A time-on-site timer that is still running after the visit's scheduled end plus a grace period is closed for you, at that moment. The grace period is 30 minutes unless your provider setting says otherwise. A visit with no scheduled end is never closed this way.
When you are asked to confirm
- Expected end. With time still running, once the visit's scheduled end plus the grace period has passed, the work order's Time panel and the Timesheets page show: "Walter noticed this visit was expected to end ... minutes ago." Choose Still working to dismiss it, Finished at expected time to stop at the scheduled end with a recorded reason, Finish now to stop now, or Adjust time to open the work order. The prompt asks; your time keeps running until you answer.
- Closed automatically. In the End of day panel, Time on site that ended on its own lists timers the system closed. Select Confirm to keep the recorded end, or Correct, enter I left at and a Reason, and select Save.
- Time events to fix. If a start or stop could not be recorded when it happened, the moment is kept and listed here. Select Use the time it happened to apply it, or Not real time, give a reason such as a test tap, and select Dismiss.
- Review notices. A timer that has run unusually long, or overnight, shows "Walter noticed time needing review". Your timer keeps running; stop or correct it when the visit ends.
Tips
- Anything you leave alone in End of day is counted as it stands, and the day is submitted for you at 4 in the morning in the provider's time zone on the next day. Closed timers you never confirmed are then treated as confirmed.
- A timer problem never stops the work. The work order still starts, suspends or completes.
If something goes wrong
- If time is missing after a start, look under Time events to fix for that day.
- If an automatic close ended too early or too late, use Correct and give the real time.
