Adding and Correcting Time
A technician can add time that was never recorded, and can correct time that was recorded wrongly, including time a manager rejected. This guide covers adding a manual entry, fixing a rejected timesheet and resubmitting it, and settling the items listed at the end of the day.
Before you start
- Adding an entry and correcting rejected time need the manual-time capability. Without it, the correction form for rejected time does not appear.
- Manual entries are for the signed-in technician on the day shown on Timesheets. Use the date arrows first if the time belongs to another day.
- A manager who finds a wrong time during review can correct it and approve in one step; see the guide on approving timesheets.
Steps to add time
- Open Timesheets and move to the right day.
- Select Add Manual Entry. The Add Manual Time Entry window opens.
- Choose a Work Order from the list of assigned work orders for that day.
- Enter a Start Time and End Time, or instead enter Total Duration (minutes). If you enter a duration, the start and end times are ignored.
- Add Notes (Optional) if useful, then select Add Time Entry.
A work order with no time also shows Add Time, which opens that work order's execute page.
Steps to correct a rejected timesheet
- A red notice, Time needing changes, lists rejected work and the manager's reason. Select the work order and date to open that day.
- Under the work order, Timesheet rejected shows the Reason. Open Review and correct recorded time.
- For each entry, change Start and End, enter a Correction reason (required), edit Notes if needed, and select Save correction.
- After you have corrected at least one entry, Resubmit for approval appears. Select it.
Steps to settle the end of day
- In End of day, work through Time events to fix and Time on site that ended on its own as described in the guide on automatic timekeeping.
- Select Submit my day. Submitting warns but never blocks, and a submitted day shows who submitted it and when.
Tips
- Every correction keeps a reason, and managers can see the before and after of each one in the approval queue.
- Correcting an automatically closed end counts as confirming it.
- The reason field is required on every correction.
If something goes wrong
- If Resubmit for approval is missing, the message "Correct at least one entry, then return here to resubmit" is shown; correct an entry first. Only entries that have an end time can be corrected.
- If a validation message appears on the add window, check that a work order is chosen and that you entered either start and end times or a duration.
- If Add Manual Entry produces an error about permission, your role lacks the manual-time capability.
